Your Conference Rooms Are Unbearable Because Technology Was an Afterthought

Organizations still approach workplace technology as if it can be “added on” after the real decisions are made: build the rooms, pick the furniture, then let IT tack on cameras, screens, and booking panels.

The problem with this strategy is that we live in a hybrid world where meetings include a mix of remote and in-person participants. The technology layer is a gateway enabling conversations to happen, and by that measure is the most critical part of any meeting room.

Consider the mismatch most companies are operating inside. Cisco has found that 98% of meetings include at least one remote participant, but fewer than 15% of an estimated 87 million meeting spaces are video-enabled. Similarly, Logitech notesthat 84% of meetings included at least one remote participant, yet fewer than 15% of small rooms are video-enabled.

When the environment can’t support how people actually meet, they adapt in predictable ways. They take calls at their desks. They hunt for the one room that “works.” They book a conference room for a solo meeting just to get privacy and a reliable setup. Data shows that in the office, half of people stay at their desks for video calls partly because there’s often no nearby place offering a higher level of privacy.

We’ve heard from leaders talk about a “bad meeting culture” within their teams. In reality, we find that the issue is frequently a result of bad systems design. Here’s what “systems design” encompasses in a hybrid, AI-enabled workplace: rooms, acoustics, furniture, camera placement, lighting, displays, privacy, and workflow. Everything must be designed together, because they are functionally inseparable.

The major platforms now say this explicitly. Microsoft’s Teams Rooms guidance doesn’t just describe devices; it describes room acoustics, lighting practices, camera placement, microphone coverage, infrastructure needs, and even how to prevent echo and feedback across coordinated devices. Zoom’s design guidancegoes further, stating that the video experience “will be defined by the environment and lighting of that environment,” and emphasizes controlling reflections and daylight. Logitech’s room design guide similarly frames quality as a combination of environment, placement best practices, and correct configuration, not just a shopping list of hardware.

This is why meeting spaces keep producing disappointing results. If you design a room without considering camera sightlines, you’ll end up with seating arrangements where remote attendees stare at the side of everyone’s faces. If you pick glossy tables and put a big window behind the participants, you’ll introduce glare and exposure problems that make faces unreadable on camera. If you build lots of “collaboration space” without layering in privacy, you’ll force desk calls and noisy open-plan meetings that distract everyone.

Furthermore, as AI agents become more common in meetings, the quality of the room’s audio environment becomes critical infrastructure. If audio capture is poor because the room is reverberant, microphones are badly placed, or HVAC noise is high, the entire system begins to fail. Transcripts become inaccurate, summaries lose reliability, and action extraction becomes brittle. What looks like an AI problem is often a room design problem: acoustics, microphone placement, background noise, and signal clarity determine whether these tools actually work.

This is where the traditional “space first, tech later” sequence breaks down. A meeting room is not simply a container for technology—it is part of the technology system itself.

Taking a systems approach means designing the environment and the technology as one integrated experience. Instead of asking “What devices should we install in this room?” the better question becomes, “What type of collaboration should this space support, and what environment does that require?” The answer is architectural, technological, and experiential all at once.

From our experience designing workplaces, the most successful projects bring workplace strategy, architecture, furniture planning, and AV expertise together at the earliest stages of design. When those disciplines collaborate from the start, the conversation shifts from simply installing technology to shaping environments that support how people actually collaborate. The difference shows up immediately in rooms that are easier to use, more reliable, and better suited to hybrid work.
